Akinitaras
The operating system of a property — from the deed to the plumber's invoice
A property management platform for Greece: ownership, leases, rent, expenses, documents, maintenance and the reports an accountant asks for — with separate portals for the owner and the tenant.
The problem
A property lives in four different drawers
The deed is in a folder, the lease is in an email, the rent is in a spreadsheet only one person can read, and the plumber's receipt is in a pocket. When somebody asks when it expires, what was paid in March, or which certificate is missing, the answer does exist — it just costs an afternoon to find, and sometimes it has already cost a fine.
What we built
A record that explains itself
Akinitaras puts the whole lifecycle in one system and puts one reading on top of it: the property passport. It is a score that is not allowed to be opaque — every point it takes away arrives with a named finding and what to do about it. The owner and the tenant sign into their own portals and see exactly what concerns them, because the query underneath never selects the other rows in the first place.
Inside the product
What is actually in it
The property passport
A health score per property, assembled out of named findings rather than handed down as an opaque number. A rule that deducts points without explaining itself fails the build.
A document vault
Metadata in the database, bytes never: every file uploads straight to private object storage under a short-lived signature, is scanned for malware, and keeps its own access log.
Leases that keep their history
Terms are versions and amendments are appended, not rewritten. What was agreed in May still reads in December as it was agreed, and expiries give notice at 180, 90, 60 and 30 days.
A ledger, not a balance
Charges, payments and allocations are entries. One payment can settle more than one charge, and reducing what somebody owes needs a reason at three separate layers before it goes through.
Two portals, two queries
An owner sees the properties they hold a current share in; a tenant sees the leases they are named on. Both are queries that never select the other rows, rather than filters over everything.
Maintenance as a flow
Reported, quoted, approved as an amount rather than a tick, done, closed — and the cost lands in the property's expenses by itself. The contractor directory is a flag on a person who already exists, not a second register.
The reports an accountant wants
Owner statements, portfolio statements, rent receipts and an annual tax pack, rendered as PDFs in the reader's language rather than in the language of the request that produced them.
Erasure that keeps the book
The right to erasure pseudonymises the person and leaves the accounting line where it is, because a ten-year retention duty exists at the same time as the right. Nothing here deletes a customer document on a timer.
Bilingual, proved by a test
Greek and English on every screen, email, notification and PDF. A key added on one side and forgotten on the other fails the build instead of quietly falling back to the other language.
Signature decisions
The calls we would defend
Who it is for
Property management agencies, landlords with more than one flat, and their tenants.
-
No number without its reasons: the score is derived from the findings, never the findings from the score.
-
A lapsed subscription stops growth and takes nothing away — every document still downloads, every statement still renders. A vault that locks you out is not a vault.
-
No containers anywhere: PostgreSQL, Redis, Nginx and PHP-FPM run as ordinary host services. Scaling adds identical nodes rather than splitting the domain into services.
-
Not one sequential id where customer data lives — every key is a uuid, so an identifier in a URL discloses neither how many rows a table holds nor what order they arrived in.
